Business Centres & Offices·Owner and tenant apart, clear accounts

In a business centre, owner and tenant accounts stay apart in one record.

In business centres most units are let and tenants change often. In Yonevo you choose who each charge goes to: the occupant (the tenant if there is one), the owner only or the tenant only. When a tenant changes, the old account is closed and the new one starts on the same unit; statements and reports come from the same record.

Common situations

Which of these sound familiar?

Corporate tenants want documents
Company tenants ask for a statement for every payment; preparing them by hand takes staff time.
Owner or tenant?
If it is unclear who a charge was posted to, the trail of old records is lost when people move in and out.
Splitting shared area costs
Splitting security, cleaning, lift and energy costs by hand is error-prone and invites disputes.
Heavy transfer traffic
Working out which unit dozens of corporate transfers belong to takes time.
Reports for owners and investors
Owners expect regular financial reports; scattered spreadsheets do not meet that.
Putting arrears on a rule
Sending reminders without harming business relationships, and applying the late payment penalty consistently, is hard.
How it works in Yonevo

The same work, in one orderly record.

Owner and Tenant Records

Each unit's owner and tenant records are kept separately with their dates; a tenant who leaves is not deleted but set to inactive.

Who a Charge Goes To

Chosen on each charge: the occupant (the tenant if there is one, otherwise the owner), the owner only or the tenant only. A unit with no active tenant on the charge date is charged to the owner.

Splitting Shared Costs

The amount is split equally, by land share or by net or gross floor area; amounts can be entered per unit and some units left out.

Bank Transactions

With supported banks, transactions are fetched automatically over a read-only connection; statements from other banks are brought in through data migration. You confirm which unit each payment goes to.

Statements and Reports

Tenants and owners are given their own statements; income and expense, collections and cash and bank reports are available as PDF or Excel.

Accounting Ledgers

Cash-basis book or double-entry mode; double-entry mode adds the journal, general ledger, subsidiary ledger and trial balance.

Late Payment Penalty and Notifications

The late payment penalty is calculated by rule; charge, collection and overdue notifications go by email or SMS according to your settings.

Change History

Who changed each record, and when, is tracked; reports rest on the record.

Example workflow

What happens when a tenant changes?

Example: the tenant of a fourth-floor office leaves mid-month.

  1. 1
    Enter the move-out date
The old tenant's record is closed with the move-out date and set to inactive; its history is not deleted.
  2. 2
The open balance stays with them
Charges and payments posted before the move-out stay on the old tenant's account; you give them their statement and settle it.
  3. 3
    Add the new tenant
The new tenant is added to the same unit with a start date; later charges aimed at the occupant go to them.
  4. 4
    The owner's liability
Under KMK Art. 22 the tenant is jointly liable with the owner, limited to the rent they are liable to pay; what they pay is deducted from the rent.
